Spydus Newsletter January-February 2005

Welcome

We trust everyone enjoyed the Festive Season and summer holidays and that your 2005 is off to a flying start! This is certainly the case for the Spydus team as we busily welcome new customers and new staff to Spydus. We have produced a combined issue for January and February and as you can see we have plenty of news to share!

Spydus Managed Service continues to grow with Central West Libraries in NSW signing up in January and this issue we also have news of a special Managed Service solution for schools launched earlier this month. We are also delighted to announce our latest win in Singapore , the 4C (Collaborative Collection for Chambers and Courts) Consortium.

Our first Site of the Month for 2005 is Stonnington Libraries in Melbourne, a Spydus customer for more than 20 years plus we bring you news of the brand new library Central Northern opened at Tamworth in December.

Spydus wins 4C (Collaborative Collection for Chambers & Courts)
Consortium in Singapore

We are delighted to announce the recent signing of the Collaborative Collection for Chambers & Courts (4C) library consortium in Singapore .

Consisting of 3 special libraries: the Attorney-General's Chamber (AGC) library; the Supreme Court Library and the Subordinate Court Research & Resource Centre, the 4C consortium provides specialised library services to judges, prosecutors and lawyer members throughout Singapore and features 40,000 titles and 20,000 law indexes.

Spydus will be hosted by AGC and will only be accessible via the government Intranet. Each library will have a separate OPAC view of the database and the ability to set local parameters, whilst sharing the bibliographic record.  We welcome the 4C libraries to the Spydus family.

Central West Libraries Selects Spydus Managed Service

Central West Libraries has selected Spydus as its new integrated library system and will be the first library service to go live with Spydus 8 via Civica’s Managed Service solution.

Central West Libraries is headquartered in Orange , NSW and is a regional public library service made up of 7 branches including Blayney, Canowindra, Cowra, Forbes, Manildra, Molong and Orange . Each branch offers full lending, reference and internet services with a common membership database and a shared collection. The collection comprises some 136,000 titles and 189,000 items with an annual circulation of 500,000.

  According to Jan Richards, Manager Library Services, “We were looking for a flexible system with all the functions to deliver a quality service to our distributed network. We were also very interested in having a vendor-managed service and this option was enthusiastically embraced by our time-poor IT staff! Having Spydus implemented in the adjoining Library Services was a plus and provides heaps of opportunities for cooperative ventures in the future.”

Phil Barr, General Manager Civica Library Solutions, commented on the Central West decision. “We are delighted to have Central West on board, especially as they will be the first customer to go live with the Managed Service on Spydus 8.  We are very pleased that the library market has recognised the exceptional value proposition of the Managed Service solution.”

Spydus 8 New Reservation Features

The new circulation module within Spydus 8 incorporates a number of new exciting reservation features including:

¨              The ability to suspend a reservation until a specified date. If a borrower happens to be at the top of the queue, they will not be allocated an item until that date is reached. The suspension date is controlled from the edit reservation facility in front desk.

¨              When the ‘allocate to borrower’ message appears when an item is returned, the librarian can also choose to not allocate an item.  This is very useful if the item is damaged and needs to be taken out of circulation.  Similarly once an item is allocated, the operator can de-allocate an item from the edit reservation facility in front desk. 

¨              The inter-branch request facility has been built into the staff reservation facility so that if an item is available at another branch the operator can send an email to the other branch.

¨              Staff placing a reservation can now search the borrower file by all the borrower search access points and then select the borrower requiring the reservation.

¨              Separate hierarchy structures are provided for reservations, bookings and notice production.

¨              Reservations may be placed on a particular serial issue.

New Library for Central Northern in Tamworth , NSW

Congratulations to Central Northern Library Service on the opening of their new Tamworth library on December 14 last year. The new Library & Art Gallery has become a very inviting and popular place with well over 300 new members joining the library since the building was opened.

Kate Nalder, Systems Librarian Central Northern is thrilled with the new building. “It’s big, bright, open, airy, colourful, spacious, welcoming and relaxing, has lots of technology and is delightful to visit and work in.” she said.

Approximately twice the size of the old library with 22 new computers installed for the public to use, the Tamworth Library has incorporated the concept of “Rooms” for the non-fiction collection.  This means that all items relating to a topic are grouped together, whether they are books, magazines or audiovisual resources. The new library incorporates a special children’s reading room complete with magical starry night ceiling.

Central Northern has recently installed the PC reservation and management software Pharos SignUp, which interfaces to Spydus for borrower validation by way of the SIP2 protocol.

Site of the month: Stonnington Library and Information Service

Stonnington Library and Information Service in Melbourne has been a Spydus customer for almost 20 years. The library utilises the complete Spydus application within the library and has incorporated a range of complementary community services into their OPAC. These services include:

¨     Online registration

¨     Quicklinks to lists of Community Language materials

¨     Bookings

Hot tip # 11 – Digit ISBN’s

 

Did you know that if you are cataloguing using the Cataloguing Clients, you can add and download ISBNs of any length?

Note: if you are using the character based Cataloguing and DBL modules, you will need to install a software patch to cater for the new 13 digit ISBNs.

New Managed Service Solution for Schools

Civica has launched a new Managed Service solution tailored specifically for schools and available to both existing Spydus users and new customers. Leveraging off the managed service infra-structure already in place and the ability of Spydus to work in a consortia model, Civica can offer schools a very cost effective solution, which will ensure they have access to leading library management software.

Schools will share the bibliographic record, which will effectively reduce cataloguing costs, however each school will have a separate view of the database to ensure autonomy of local data and policies.  Schools will connect to Spydus via the Internet through a secure VPN.  The Managed Service also includes an annual Spydus update, helping libraries to easily budget for their on-going IT requirements.

Farewell to Danka Murray…. after 16 years as a most dedicated and valued Spydus team member we say a fond farewell to Danka Murray and wish her all the very best in her new endeavours as a primary school teacher.

Spydus at Information Online 2005

The Spydus team were kept very busy at the recent Information Online 2005 Conference and Exhibition, which was held in Sydney 1-3 February.  The conference was well attended and it was great to see so many Spydus customers from both Australia and New Zealand there.

  Demonstrations of Spydus 8 and the new Spydus RFID Solution were held on the stand throughout the conference and one lucky visitor to the stand, Karen Pemberton Senior Librarian at the State Library of Tasmania, won a case of Annies Lane Shiraz in the Lucky Business Card Draw.

The last couple of months has again seen plenty of market activity and we are delighted to bring you news of our latest Spydus customer, Wollongong City Library in NSW.

Two other key events in February were the Spydus Launch at Blacktown and Corangamite Regional Library Corporation's successful completion of their network upgrade and move to Managed Services. We bring you all the details of those events below.

Our Site of the Month for March is Austin Health Library in Melbourne, a Spydus customer for more than 20 years, who provide a comprehensive and valuable information service to medical staff and students at Austin Health.

Wollongong City Library Selects Spydus

After a rigorous selection process, Wollongong City Library has selected Spydus as their new Library Management System.  

According to Susan Roberts, Manager Library Services, “We are delighted to be moving to Spydus and to the changes this new system will bring to our library services and we are looking forward to working with the Civica team and the user group.”

The City of Wollongong , the City of Innovation and Australia 's 9th largest city, is located south of Sydney , in the Illawarra region of New South Wales . Wollongong City Council serves a community of more than 185,000 people.

Wollongong City Library operates a Central Lending Library, Central Reference Service, Local Studies Library, three District Libraries at Warrawong, Dapto and Corrimal and 4 Branch Libraries at Unanderra, Thirroul, Bulli and Helensburgh. Two mobile libraries also service the area. The total book stock numbers 400,000 items and the annual circulation is approximately 1,500,000.

The Library offers many innovative services such as services for kids, teens and students including cool web sites, HSC resources and homework links. The Wollongong community has access to great web resources and links to news, events and neighbourhood committees.

“Because of the versatility of Spydus, the product is suitable for any type and size of library, be it a large city library service such as Wollongong, a regional system or a small rural library service, “ commented Phil Barr. “We are delighted that Wollongong City Library has selected Spydus and we look forward to a long-term mutually-beneficial relationship.”

Blacktown City Council Library Service Launches Spydus

On Wednesday February 16, 2005 Spydus was officially launched at the Max Webber Library, Westpoint Shopping Centre, Blacktown .

Official guests included the Mayor of Blacktown, Clr Leo Kelly, Blacktown City Council General Manager, Mr Ian Reynolds, Director of Community Services, Ms Debbie Killean and Manager Library Services Ms Andrea Ward.

Mayor Kelly said "our libraries are a great resource for the entire community and the introduction of Spydus will provide an even higher level of quality service to our 100,000 plus registered members and the 290,000 City residents."

The Spydus library catalogue is available 24 hours a day on the web at www.libcat.blacktown.nsw.gov.au.

Spydus 8 Circulation Offline


The circulation offline facility in Spydus 8 has been redeveloped to integrate tightly with the online circulation client.  Rather than having a separate client for offline, the circulation client can also be used in an offline mode with various features disabled.  The same offline features as in the 6.5 versions are available with some streamlining of the downloading
and uploading processes.

Corangamite Regional Library Corporation move to Managed Services

On February 21, Corangamite Regional Library Corporation in Western Victoria became the 10th Spydus library service to go live with the Spydus Managed Services solution.

The migration to Spydus Managed Services was timed to coincide with a review of CRLC's communications infrastructure funded by the Victorian State Government's State-wide Network Infrastructure Project (SNIP).  CRLC are progressively moving each of their branches to ISDN or ADSL as it becomes available, to optimise the performance of their VPN connection to the server in Civica's data centre in Collingwood.

According to Margaret Smith, CEO of Corangamite Regional Library Corporation, the transition to Managed Services all went according to plan under the expert guidance of Civica’s Heath Cooper and Trevor Trotter. The network upgrade process was fairly complex; however the end result is a library service very happy with the smooth transition and the changes to come.

“Throughout this process the help, support and patience of both Vicnet and Civica were fantastic – way beyond our expectations. Our staff are feeling confident, knowing they have access to expertise and support, and our Board will be pleased with the cost efficiencies and improved patron services that Managed Services will deliver.” said Margaret.

Corangamite are now looking forward to scheduling an upgrade to Spydus 6.5.3, using Acquisitions, Requests and Serial modules and undertaking staff training.

Site of the month: Austin Health Library

Austin Health in Victoria is one of Australia ’s leading teaching hospitals and medical research centres. With more than 840 beds, Austin treat approximately 65,000 inpatients and 130,000 outpatients a year from three sites: the Austin Hospital , the Heidelberg Repatriation Hospital and the Royal Talbot Rehabilitation Centre. Austin Health also provides undergraduate and continuing education and training of medical students, nurses and students training for allied health professions, as well as post graduate education and research.

The Austin Health Library has been a Spydus customer since 1982 and currently runs Spydus 6.5.3. The Library has a comprehensive Web site at http://library.austin.org.au/default.html providing patrons with access to a variety of medical information services including:

Managed Services for Moreland City Libraries


Moreland City Libraries in Melbourne’s north provide library services across five branches at Brunswick, West Brunswick, Coburg, Fawkner and Glenroy. In 2004 Moreland Council committed to improving the overall community library amenities and the upgrading of their Library Management System (LMS) was an integral part of this plan. Council also recognised that their existing server was not adequate to support new library systems and a fully hosted service would eliminate the need to invest upfront in costly computer hardware.

Following an extensive tender evaluation process, Moreland chose to implement the Civica Spydus Managed Service. Civica’s ability to provide local hosted services as opposed to via the web from the USA and the ability to implement the new system with minimum disruption to services were viewed very favourably by the evaluation team.

Moreland’s Managed Service solution includes: full application hosting services; Spydus client desktop maintenance and management; extended scope application support (Spydus parameter maintenance) and management of the communications link to the edge of Moreland’s network. Managed Services also delivers regular software upgrades and library staff are now eagerly awaiting the initial upgrade to Spydus 6.5.3.

Initial project meetings commence this month and we look forward to bringing you more news when Moreland go live with Managed Services!

Loreto-Mandeville Hall first to join Spydus Managed Services Schools Consortia

We are pleased to announce that Loreto-Mandeville Hall, a Catholic School for girls located in Toorak, Melbourne, has signed to be the first member of the Spydus Managed Services Schools Consortia.

  The Spydus Schools Consortia Solution leverages off the existing Spydus Managed Service infrastructure and the ability of Spydus to work in a consortia model. This enables us to offer a very cost effective solution for schools providing a total hardware and software solution. The consortium runs off one instance of the database with separate filtered views for each school, ensuring the privacy of borrower records and autonomy of policy and parameter settings. Schools may choose to share bibliographic records – an obvious benefit afforded by a consortium, load their own records or create new ones as individual school workflows dictate. Only records with local holdings are viewed in the OPAC and Staff enquiry interfaces.

Spydus 8 Send a Welcome Email

The Spydus 8 Circulation module will automatically generate a ‘Welcome to the Library’ email when a new library patron is registered with an email address.  This feature is an additional opportunity to pro-actively market library services to new library patrons and at the same time confirm the borrower’s email address.

Site of the month: Dalby Wambo Public Library Service puts Community First

The Dalby Wambo Region is a vibrant "go ahead" rural community with a population of approximately 15,000 people. It has the largest grain receival depot in Queensland, the largest one day livestock market in Australia and is renowned as a rich agricultural region growing crops such as cotton, sorghum, wheat, barley, sunflowers, chickpeas, mung beans and corn, as well as the production of lamb, beef and pork.

Situated on the rich soils of the Darling Downs, Dalby is just 211 km north west of Brisbane and is located at the crossroads to Toowoomba, Kingaroy, Roma, Mundubbera and Goondiwindi.

The Dalby Wambo Public Library is a vital and progressive part of the Dalby Wambo community infrastructure, with three branches and over 30,000 resources for loan.

Library Manager, Sylvia Marshall and her team are committed to making the Dalby Wambo Public Library Service a dynamic, central point for community and broader information using the Library Catalogue as a one-stop-information-shop at http://dalby.spydus.lgaq.asn.au/.

Sylvia believes that for Library professionals in today’s community, reference work includes much more than simply providing a reference to the information held in the library.  Dalby Wambo Public Library has taken the fundamental web centric focus of Spydus and built links to a diverse range of web pages relating to education and employment and also fun things for the young and the young at heart. 

When Civica’s staff recently commented on how fantastic her work is, Sylvia said, “Spydus gives me a great foundation to work with… it’s easy, if I can do it anyone can do it…”

On the main library catalogue, clever links in a language that today’s youth understand include “4_bord_tns (sic links)” which translates to great sites for bored teenagers, “Net Links” for the main community links and “Check this Out!” for all the latest Library News.

When it comes to sports like Cricket or Netball, Dalby’s OPAC does more than describe the items in the library under that topic. At Dalby they have created records with links and abstracts about those links, to community Cricket Associations, to Australian cricket rules, and much more.

All libraries are facing the challenge of meeting an ever-increasing community demand for internet access and sophisticated online services. A simple task such as applying for a part-time job at the local Woolworths now requires students to complete an online registration form over the internet.  To make these types of tasks simpler, Sylvia and her team have created a bibliographic record with web links and descriptions of organisations that are relevant for employment in both the local community area and broader areas.  A similar service has been built for Education providing the community with easy links to local schools and universities.

This year Dalby Wambo Public Library was named ‘runner-up’ for the Queensland Public Library of the Year Award in recognition of their many initiatives and Sylvia and her team are inspired to continue along the same path in 2005!

Hot tip # 13 – Handling Combined Serial Issues


How do you handle a serial when a regular issue is replaced with a combined issue?  For example the Spydus Newsletter is a monthly newsletter, however this year the January and February issue came out as a combined issue in February. 

¨        Highlight the issue that you do not expect to receive and delete the issue ‘Ctrl+X’, in this example that would be the January issue. 

¨        Then select the February issue and edit the issue.

¨        Uncheck the Generate Title box

¨        Amend the title field to reflect for example January/February 2005

¨        Barcode the holdings

¨        Apply the changes

Civica at QPLA Conference April 3-6 2005

Robyn Wright and Ruza Obradovic represented Civica at the Queensland Public Library Association Conference in Toowoomba earlier this month.

Two Spydus customers delivered interesting papers on the way they manage their library service and future plans; Jan Richards, Manager, Central West Libraries and Susan Coker and Ron Store, Joint Managers, Thuringowa Library Service.

We were also delighted when Thuringowa Library Services was awarded with Queensland Public Library of the Year for their commitment to patron services.

Welcome


This month we bring you the latest international news with successful Spydus 8 implementations completed at Hastings and Napier Libraries in New Zealand and at the 4C’s Libraries in Singapore. We also provide a detailed guide to Sorting Series by Number; another Spydus 8 feature designed to make life easier for Library Catalogue users.

In April our Hot Tip focussed on Combined Serial issues and this month we look at how to handle Omitted Serial Issues. We also raise the important issue of Data Back-ups. Just how reliable are your data back-ups?

Our Site of the Month for May is Maribyrnong Library Service. Located in the western suburbs of Melbourne, Maribyrnong are using Spydus and the web to proactively serve their culturally diverse community.

Hastings and Napier in New Zealand first customers live with Spydus 8

The first two current Spydus customers, Hastings District Council Library and Napier Public Libraries in New Zealand went live on Spydus 8 in the week beginning 16th May.  Hastings and Napier Councils are neighbours on the east coast of New Zealand ’s North Island .  Napier has been a Spydus customer since 1986 and Hastings since 1998.

This was a significant upgrade for both libraries as both upgraded from an earlier version of the product, Spydus version 6.2, and had not previously used any of the GUI client software. Library staff at Hastings and Napier worked closely with the Spydus project teams to ensure the upgrades went as smoothly as possible. The upgrade process involved a number of major tasks, including:

·          Upgrading both libraries from version 6.2 to 6.5.3 release

·          Completion of database audits

·          Resolution of identified data corruptions

·          Extraction of most data and many parameters

·          Loading of data and parameters into the Spydus 8 systems

·          Providing 9 days of on-site training for each library

·          Recommissioning the system for each library

·          Ongoing project management and consultancy

·          On-site, go-live support for each library

Each library also contributed greatly to a smooth upgrade with their in-house testing of the data conversion and Spydus functionality and commitment to ongoing staff training.

Spydus 8 goes live at 4C Libraries in Singapore

The 4C libraries are a consortium based in Singapore , with 4C being an acronym for the Collaboration Collection for Chambers & Courts. The consortium consists of 3 libraries: Attorney-General's Chamber (AGC) Library, Supreme Court Library, and Subordinate Court Library.

In preparation for go-live this month, staff at the 4C libraries recently completed a fortnight of Spydus 8 training, conducted by Civica trainer Kylie Peckham. The library staff responded very positively to training and are now looking forward to going live with Spydus 8.

The end of the 2 weeks of training was celebrated with an Indonesian feast, with our new customers ensuring Kylie was well-introduced to the Singaporean way of life …particularly the wonderful food this country has on offer!

How Reliable are your Back-ups?

 

·         Will you know if your back-ups have failed?

·         Are they readable? 

·         Does your library follow a tape rotation schedule?

·         What is the recommended "life span" of your back-up tapes?

·         Do you have offsite back-ups?

In the ideal world, every back-up would be perfect and every attempt to restore a back-up would be successful 100% of the time. However this is not always the case and the only way to actually test whether a back-up is good, is to restore from it and run tests to ensure that the data is valid. In many libraries, staff simply don’t have the time to ensure this task is completed on a regular basis.

Spydus 8 Sorting by Series Number

Spydus 8 now enables Library Catalogue users to sort their search results by series number as in the example below:

1.                   Exact match on Series title "Deltora Quest" - Sort by Series Number


2.                   The hit list is in series number order, but can be further refined if required.

3.                   Refine the set to find Junior paperbacks for example.

4.                   The hit list displays the 8 titles in the series in number order from 1-8.

Site of the month: Maribyrnong Library Service  

Maribyrnong Library Service is located in Melbourne's western suburbs and has been a Spydus customer since 2002.

 Maribyrnong provides a Library Service across 4 branches: Footscray, Highpoint, Yarraville and West Footscray together with a comprehensive home service for residents unable to visit the library.

Maribyrnong Library service has a large LOTE collection including materials for Vietnamese, Chinese and Croatian speakers. 40% of Maribyrnong's residents were born outside Australia and the population comes from more than 100 different countries, speaking more than 65 languages, with the four major countries of birth outside Australia being Vietnam, China, Italy and Greece.

 The Library Service encourages customers to join online via the OPAC and submit requests for items and information through the Spydus Requests module via the OPAC. Maribyrnong also offers users the convenience of Enriched Content within their Spydus Catalogue and they have promoted this new feature to the community via their website. Another great example of a proactive, online Library service.

Welcome

Welcome to the June issue of the Spydus Newsletter! This month the Civica implementation team has been very busy with our first WA Spydus 8 site going live on June 9 and our first school going live with Managed Services on June 3. 

Speaking of which, we are delighted to announce the re-location of our Managed Services communications and hardware infrastructure to a new purpose-built data centre facility in South Melbourne. All of the additional benefits the new site offers to our Managed Services customers are detailed below. 

Our Hot Tip this month focuses on Acquisition Funds Rollover, which is very timely as the new financial year fast approaches plus we have an update on a new Spydus 8 feature - Task Search. Our Site of the Month for June is the Caboolture Shire Libraries in Queensland, and last but not least, we have some advice on how to effectively manage your SRs and Help Desk Calls.

City of Mandurah WA Go-Live on Spydus 8!

The City of Mandurah Library Service in Western Australia (WA) went live on June 9 becoming our first WA Spydus 8 customer! 

Mandurah's Libraries and Learning Coordinator, Alasdair Wardle successfully led his team through an extensive implementation process as they upgraded from the last release of the fully character based version of Spydus (URICA 5.1 B) to Version 8.

The upgrade involved 12 days of training and significant time and effort on the part of Mandurah staff in testing the data conversion and software functionality and on-training colleagues. According to Bruce Pascoe, Mandurah LMS Implementation Project Team Leader 'the transition from desk staff and customer point of view was very smooth and problem free'. 

The community of Mandurah can now explore online the Kid's Catalogue, experience the Syndetics enriched content interface, search other libraries' catalogues and become a member of the library online. 

In addition to the new customer interface features, Library staff now have a fully integrated interface to LISWA Inter-Library loans, effectively streamlining the delivery of inter-library loan requests for the community.

Managed Services Live at Loreto-Mandeville Hall

On June 3 the three Loreto-Mandeville Hall libraries transferred the running of their Spydus applications to Civica Managed Services. According to Rosemary Abbott, Head of Information Services at the school, the change-over went very smoothly and necessitated very little down time. Users’ access to Spydus was disabled late Thursday afternoon and the system was up and running again by Friday lunchtime.

“Moving to Managed Services has been of great benefit to us. In a school, especially a relatively small one, it is always difficult to get funding for upgrades on an annual basis. I no longer have to go through this process. The fact that our contract includes upgrades, training and system management was a strong selling point with the school’s Director of Business Operations,” said Rosemary.

Rosemary believes that with Managed Services library staff will now be able to focus on their main priority of supporting learning in the school. 

“Our role, as Teacher Librarians, is to work with teachers and students in supporting learning throughout the school. Because we are a small library service, we have never had a Systems Librarian. This has meant that tasks like file resizing and re-indexing were often neglected. Now we can be confident that all components of our library system will be run at optimum levels.”

“We have had a long standing relationship with Civica. We purchased our first system in 1988 and we are very pleased to be continuing this relationship on a very positive basis with our move to Managed Services,” said Rosemary.

Civica Managed Services Data Centre Re-locates

Civica has re-located the Spydus Managed Services communications and server infrastructure to the GlobalCenter, purpose-built data centre facility located in South Melbourne .

For Civica’s Spydus Managed Services customers the re-location has been relatively seamless with the changeover occurring over the June long weekend.

The relocation to the GlobalCentre data centre environment provides Civica’s growing number of Managed Services customers with a range of benefits including:

·          Faster and more reliable internet connectivity

·          Advanced backup power facilities

·          Improved fire detection/suppression mechanisms

·          Increased cooling capacity to ensure stable server operation

·          Additional physical security measures

Site of the month: Caboolture Shire Library

Caboolture Shire in Australia , is located in the rapidly developing southeast Queensland coastal corridor, around 40 minutes drive north of Brisbane .

Today, as many of Queensland 's smaller towns decline, Caboolture is experiencing rapid growth and while agriculture retains its importance, the Shire is becoming increasingly urbanised. Several thousand new residents move to the Shire every year, taking advantage of an abundance of affordable real estate and a superb, relaxed lifestyle.

The Shire covers an area of 1215 square kilometres stretching from the D’Aguilar Range in the west to the Pumicestone Passage Marine Park and sandy beaches of Bribie Island in the east.

Caboolture Shire Libraries provide a library service to the estimated 120,000 residents of the Shire and boasts six libraries at:  Caboolture Central, Bribie Island Branch, Burpengary Branch, Deception Bay Branch, Narangba Branch and Woodford Branch.

The Caboolture Shire Libraries website provides a range of online services to the community, allowing library patrons to submit requests online and view their details via the Your Library Card link.  The Library catalogue also offers a range of Online Reference tools and two picture collections, the Picture Caboolture Collection with 1700 pictures from Caboolture’s past and the Art Collection.

Caboolture Shire Libraries aim to provide…Smart Community Spaces by supporting: Access to Information; Leisure and Cultural Opportunities and Lifelong Learning.

Spydus 8 New Feature

A further enhancement within Spydus 8 to Staff Enquiry now allows users to quickly search tasks and display them in a user friendly manner.

From the Spydus Enquiry, Operations menu choose Task Search to check on the status of scheduled tasks such as SDI alerts, Offline Batch processes, Circulation notices and batch Authority Merges. Searches may be made by status
(any, finished, stopped, stopping, started or failed), date created and date last updated.

Hot tip # 15 – Acquisitions Fund Rollover
- for sites using the Acquisitions client on v.6.50 and above

As the end of financial year approaches, for many libraries it is a good time to review your Acquisitions fund rollover procedures.

Essentially the rollover process takes the budget and commitment for selected funds and moves them into new funds. The completion time for the Acquisitions fund rollover will vary dependent upon the number of funds you are rolling over, however it is recommended that the process is completed when no other library staff are using Acquisitions. The final Acquisitions funds reports for the period should also be produced prior to rolling over funds.

·         From the Acquisitions Standard toolbar select Funds

·         Click Rollover on the Fund Rollover menu

·         Select the Fund control ID to be rolled over e.g. FINYR0405

·         Click in the Rollover Fund Control checkbox and you will be prompted to enter a new fund control ID and description.

·         All the funds under this control are automatically selected for rollover; deselect those funds you don’t want to rollover by clicking on the checkbox next to the fund.

·         You can also choose to rollover the fund, but not the commitment: deselect the commit rollover checkbox for each fund when you are not rolling over the commitment.

·         By default the budget for the new fund is the same as the current budget and the start and end dates will increment by one year. Double click on the row to amend these details.

·         Finally click on the Fund Rollover button and click yes at the confirmation prompt to begin the rollover.

Submitting SRs and Help Desk Calls

Please help us to help you, by following this checklist before logging an SR or contacting the Help Desk:

·          Have you checked all Spydus documentation first - training manuals and Spydus online help?

·          Have you discussed your problem/issue with your library colleagues? They may be able to resolve the issue with you.

·          Have any changes taken place on the systems or within your organisation’s ICT infrastructure?

·          Have you tested the problem in-house?

·          Can it be reproduced more than once? 

Most customers have a training system, which can be used to carry out their own testing.  Many questions can be answered without the need to consult the Help Desk or log an SR.

·          When you do need to log an SR

-          Please ensure that all relevant detailed information is entered in the service request, together with relevant examples and screen shots. 

-          Please provide an explanation of the workflow that was taking place when the error occurred.

This will greatly assist us in our investigative work, ensuring faster and more efficient SR resolution.

Congratulations to everyone that participated in the ALIA SA Quiz night held in Adelaide on May 27. In a tightly fought battle for library supremacy, the 'Boolean Operators' came out on top with 117 points, with 'Ethel Merman Eight' on 114.5 points just ousting the 'Licorice Allsorts' on 113.5 points for second place. Welcome to the July issue of the Spydus Newsletter! Another busy month with two libraries in NSW enjoying the launch of their new Spydus 8 systems. Wollongong City Library, south of Sydney went live on June 30 and Central West Libraries, headquartered in Orange NSW, went live on Managed Services on June 22. Read on for all the news of their fun-filled launch days!

The new Narellan Library opened by Camden Council in June combines a truly eye-catching architectural design with a fantastic range of services for the community. Don’t miss the story and photos on this exciting new library. Site of the Month for July is the recently opened Lithgow Library Learning Centre, another example of Council commitment to delivering high quality learning and information services to the community.

Central West Live with Spydus 8 via Managed Services

On Wednesday June 22, 2005, Central West went live with Spydus and not even the snowy weather outside prevented borrowers from coming to the library to be greeted by library staff in their bright, purple shirts. Another treat that awaited them were the matching purple-iced donuts for morning tea!

"We were excited to go live with Spydus and enjoyed celebrating the launch simultaneously with the library patrons and staff at each of our 7 branches,” commented Ros Dorsman, Technical Services Librarian and Project Manager.

“For the first time, Central West Libraries' catalogue is available via the internet and open 24/7 for our local users and the wider community. The response to the web OPAC from our library patrons has been enthusiastic and immediate, especially after the TV coverage went to air, and has completely exceeded our expectations.”

“The donuts are finished, but purple shirt Friday will reign during July!" said Ros.

Wollongong City Live on Spydus 8!

Wollongong City Library made sure their Spydus 8 go-live on June 30 was a fun-filled day, with staff and patrons enjoying a funk band and morning tea to celebrate the launch of the new software.

Librarians donned specially designed purple T-shirts and were on hand to provide patrons with tips on how to search the Spydus catalogue. Patrons also received a gift bag that included a stress ball, pen, a stick on holder for Onloan slips and a Help Sheet for catalogue searches.

City of Wollongong, Lord Mayor, Alex Darling attended the launch and officiated over the cutting of the ‘Spydus Launch Cake’. Councillor Darling said the Spydus system would provide customers of the City Library with a wide variety of benefits including faster access to information and answers to queries.

“The introduction of this new management system translates to convenience for members and other users of our City Library in terms of the much reduced time it will take to complete routine transactions,” Councillor Darling said.

“In combination with the dedicated and helpful staff working within the City Library, the system will help realise an ongoing goal of the service, which is to move with the times in order to cater to customer expectation and demand.”

Wollongong City Library staff have been in training with the Spydus system for the past month and training will also be offered at a future date to interested customers once the system has become further established.

Camden Council opens new Library at Narellan

On June 6, Narellan’s new and exciting Library and Community Space opened its doors to the public and more than 2500 loans occurred throughout the day and evening.

Residents of Narellan now have access to a state of the art library offering an extensive range of technology facilities including public access PCs, internet, scanner and colour printing facilities.

A Technology Volunteer is also available to help patrons learn to search the internet or send email.

To encourage the youth of the area to visit the library, services such as Homework Help, CD Listening Posts, Playstation and CD, DVD and Playstation Game hire are also provided.

A beautiful, modern building, using red glass as exterior rendering, the Narellan Library features a section of red glass displaying an abstract design created by a local student.

On Saturday July 30, the Library will celebrate the new facility with the entire community at a Family ‘Open Day’.

Site of the month: Lithgow Library Learning Centre

Lithgow Learning City

The City of Lithgow is situated on the western slopes of the Blue Mountains about 2 hours drive from Sydney and has a population of around 20,000 people.

On the 9th February this year, the new Lithgow Library Learning Centre was opened by the Premier, an event that coincided with the 125th year of continuous library service in Lithgow. The library has moved from the traditional library, which was presented to the community early this century by the Hoskins family of Lithgow, and is now situated in the former Woolworth's department store, within the central business district, a much more accessible location for the community.

Today Lithgow Regional Library has a collection of more than 96,000 items, four branches, 14 staff and numerous volunteers. A Spydus customer since 1993 the library provides a range of services with access to a variety of resources, including books, videos, CD-ROMs, cassettes, and computer and Internet access.

The Lithgow Library Learning Centre incorporates a technology centre, as well as a special homework area where students, particularly schoolchildren, can study in relative peace and quiet, with supervised help.

Included within the library’s comprehensive collection are books on the history of the American civil war, as well as a number of Roman and Greek classics, together with their translations into English. Universities around Australia borrow from the collection and it is quite unique for a country town to have a library of such an eclectic nature.

Spydus 8 New Bookings Module

The Spydus 8 Bookings Module now features an improved user interface and allows library staff to add resources to the database via a specially designed interface. This provides library staff with far greater flexibility than the previous method of cataloguing resources as items attached to a MARC record.

Library staff can set-up each individual resource with a unique calendar that overrides the settings for the library’s opening and closing times. Bookings and cancellations are conveniently accessed from the front desk function and a complete history of all bookings is retained with booking details easily accessed via the staff enquiry interface.

Civica has thoroughly reviewed the Booking Module system parameters, incorporating new parameters as requested by existing users of the module to deliver increased flexibility.

Hot Tip # 16 – Acquisitions System Defaults

Session defaults are applied to the first order in an order list Current defaults are applied to each order in the current list

To maintain the defaults when entering an order, click on Session defaults or Current defaults on the Settings menu. Note the Session Defaults command is only available when there is no order list open, while the Current Defaults command is only available when an order list is open.

Select the tab you wish to change using your mouse or press Ctrl + Tab to move between Tabs. Click OK to save your changes. If you change any of the defaults in an order, the changes are automatically saved as the current defaults. These will then be applied as the defaults to the next order in the list.

Note if you chose to select the Assign Defaults command the Current defaults will be applied.

New Spydus Staff

This month we welcome Tim Godfrey to the Spydus Support Team in our Collingwood office. Tim joins Civica with software development and support experience gained within the Wireless Communications industry. Away from the office, Tim leads a very active social life combining participation in Melbourne's dance music community (including occasional DJ’ing) with Mountain Bike riding and in the winter months, Snowboarding. Welcome aboard Tim!

Welcome

Welcome to the August issue of the Spydus Newsletter!  We have plenty of news this month beginning with the announcement that Civica has won a Tender for the Ministry of Education (MOE), Republic of Singapore to provide a Managed Library Service to primary, secondary and junior college schools in Singapore. This is very exciting news for the Spydus team and our Singapore office and we look forward to sharing further details with you in coming weeks.

On the home front, Managed Services continues to grow across all sectors and we have news of four more libraries moving to a Spydus Managed Service including Colin Library in Hunters Hill, Sydney. Darebin City in Melbourne has successfully gone live with Spydus 8 and is now delivering a whole range of new benefits to their culturally diverse community. Read on for all the details!

Colin Library switches to Spydus Managed Service

Colin Library at Hunters Hill in Sydney’s Lower North Shore, houses a diverse theological collection for The Society of Mary: Marist Fathers and Brothers Australian Province and has been a Spydus user since 1990.

Over the past 15 years the library has implemented several upgrades, however the decision to move to a Spydus Managed Service has allowed them to fast-track their library systems and enjoy all the features and benefits of the latest Spydus 8 software.

Civica’s Kylie Peckham spent 2 days onsite at Colin Library, training librarian Rosie Payne in the new OPAC, Staff Web Enquiry and basic Cataloguing functions.

According to Rosie the training was a great start to the new system and made the leap from the character-based system to the Spydus 8 windows-based application a very seamless process.

….and three more sites sign up for Spydus Managed Service

Interest in the Spydus Managed Service continues to grow across all sectors of the Library industry with three libraries making the decision to move to a Managed Service in August. Gatton Shire Council Library in South East Queensland and Bayside Library Service, a Melbourne metropolitan library, have both decided to move their systems to the Spydus Managed Service. And Penleigh Essendon Grammar located in Melbourne, will become the second library in the Spydus Managed Services Schools Consortia joining Loreto-Mandeville Hall.

We look forward to bringing you further news of these implementations next month.

Darebin City Live on Spydus 8!

The City of Darebin is a large municipality in Victoria and is home to one of the largest, most diverse communities anywhere in Victoria.

There are over 128,000 people who call Darebin home and more than 35% were born in countries other than Australia. The major contributing countries are Italy, Greece, the United Kingdom, China and Vietnam, and there are a rising number of people within the community from Sri Lanka, India, Egypt, the Philippines and countries from across the Middle East.

Darebin also has one of the largest indigenous communities anywhere in metropolitan Victoria with 1,000 Aboriginal and Torres Strait Islanders residing in Darebin.

Darebin Libraries operate 4 libraries across the municipality to cater for the cultural, educational and recreational needs of their community. A wide range of products and services are available for adults, teenagers and children in English, Arabic, Chinese, Greek, Italian and Vietnamese.

With the recent upgrade of their library systems to Spydus 8, Darebin librarians can now provide their customers with an easy to use Windows-based interface and a range of online services including:

  • join Darebin Libraries online
  • place reservations online
  • view current/past loans and reservations

RFID is an identification and security technology, and Civica has devised an affordable solution that is fully integrated with the Spydus Library Management System to provide market-leading functionality. 

By logically separating the circulation and security functions, only a unique identifier is required to be encoded on the RFID tags, which are available at varying costs, delivering a
cost–effective and efficient security solution for libraries.

Site of the month: Porirua City Council

The City of Porirua is nestled in a stunning harbour setting just 20 minutes north of New Zealand’s capital city, Wellington.

Extending from Kenepuru Drive in the south to Pukerua Bay in the north, from Titahi Bay on the coast to Judgeford in the east, Porirua is a young city with a reputation for energy, creativity and talent.

Porirua City Council has a diverse population of 50,300 people and its residents enjoy more than 56 kilometres of picturesque coastline and a stunning natural environment with expansive sea and Mana Island views, rolling hillside, the picturesque Pauatahanui Inlet and easy access to numerous reserves and parks, walkways and mountain bike tracks.

Porirua City Libraries has been a Spydus customer since 1988. The Porirua City Council Central Library is located in Porirua City, with branch libraries in Cannons Creek, Plimmerton, Pukerua Bay, Titahi Bay, and Whitby.

Porirua are currently running Spydus 653 and library staff are looking forward to upgrading to Spydus 8 in the very near future.

Most recently, Porirua requested to convert their Maori and Pacific and Local History database from the Archives solution into MARC records and into the main library database. Some very exciting and interesting mapping of fields was undertaken by Civica staff and the Local History database was converted into a Newspaper Index.

The Library will also be launching the Requests module on their Library Catalogue in the very near future.

Syndetic Solutions Subscription Statistics

Syndetic Solutions information is updated on a weekly basis to ensure your library catalogue features all the latest bibliographic data. Some recent figures from Syndetic Solutions are as follows:

  • Currently 2,469,015 ISBNs
  • Over 9,000,000 data elements
  • Approximately 26,000 ISBNs added each month. (6,500 per week)
  • Approximately 95,000 data elements added each month. (23,750 per week)

Spydus 8 – Family Linking

Spydus 8 offers library staff  the convenience of Family Linking, which provides access to family members’ registration details without having to wand in the member’s barcode.

All the family members that are linked to a registration can be found under the Family Groups tab in the Borrower Registration details.

 

To access a family member’s Borrower Registration details from this screen, staff would simply double-click on the appropriate barcode/children line.


This is a really quick and easy way to access the Borrower Registration details if changes are required for just one of the family members.

 

Should staff need to access a sibling’s registration details, they would select the Family Groups tab again and double-click on the appropriate barcode/siblings line.

 

Hot Tip # 17 – Saved Lists

SavedLists in Spydus 8 can be used in a number of ways, for example, bulk copy deletion or for compiling bibliographies. They can also be used for adding Line Items (Orders) to an Order list in the Acquisitions module, even if the Line Items belong to different Purchase Orders.

1. Perform an Order Search and add your results to a SavedList

2. View your SavedList, select the Orders you want to add to your Order List and choose OK

Or have you thought about using Saved Lists for reporting? Did you know that through Staff Enquiry you can create lists of borrowers as well as lists of bibliographic items? You can then export your SavedList to Microsoft Excel to create spreadsheets and charts.

Spydus launched in the UK

Civica launched Spydus into the UK Library market in July, with Chris Thewlis attending the CILIP Umbrella Conference in Manchester. Attended by more than 800 delegates the conference was a great vehicle to begin the Spydus UK launch campaign. Chris Thewlis has temporarily re-located to our UK offices together with Julie McKay and will spend the next six months focussed on developing Spydus opportunities in the UK market.

We expect to see continued growth in the global library market for Spydus, with significant opportunities arising in both the UK and Asian markets.

Spydus People News

This month we farewell Rose Hayes, Account Manager to our Spydus customers in Victoria, South Australia, the ACT and the US. Rose is re-locating to Singapore with her new husband and whilst she will be missed by her friends and colleagues we wish her the very best.

We are delighted to advise that Holley Dumble has been appointed to the role of Account Manager. Holley joined the training and implementation team 19 months ago and is now looking forward to the challenges that her new role will offer.

New Staff

We are very pleased to welcome the following people to the Spydus team:

Derek Moo has joined our development team and brings an in-depth knowledge of enterprise level systems software. Derek is an American with a great sense of adventure having studied in both the UK and Japan and working in Scotland prior to re-locating to Melbourne. Derek has three great passions: his wife, his two children and chocolate.

Martin Zeng has also joined our development team as a graduate software programmer specialising in C++. Martin loves alternative music and keeps himself fit with a form of Chinese martial arts called Wushu. This month we congratulated Martin as he graduated from Melbourne University and was awarded an honours degree in Computer Science.

Paul Johanson has joined our development team and will be focused on the Spydus RFID solution. Paul has previously worked in the Defence Science and Technology industry, however he has personal experience of the library world with both of his parents being Librarians. Paul’s father was a Lecturer in Library and Information Management and no less than 5 of the Spydus team have been taught by him. Paul loves pub rock music, keeping fit, and is the President of a Toast Masters Club.

Susan Bentley joined the Spydus training and implementation team in August and brings 10 years of experience working in Public and School Libraries to her new role at Civica. Susan’s career started as an Industrial Designer, however she soon moved to the world of libraries. Susan loves to keep fit by cycling whenever she can.

Welcome to the September issue of the Spydus Newsletter! An extremely busy time of the year for Civica as we come to the close of our financial year and there is certainly plenty happening in the marketplace!

Moreland City Libraries in Melbourne went live last month and staff are now enjoying the benefits of their new software under a complete Managed Service solution. Mandurah Library in Western Australia recently went live with Spydus 8 and this month held their official launch party where staff celebrated with a symbolic “cutting of the blue cable” ceremony!

Product news this month includes articles on new features within Spydus 8 Family Linking and our Hot Tip # 18 focuses on the process for changing from USMARC to MARC21 cataloguing.

We have two Sites of the Month for September as we look at Hastings District Council and Napier City Council, the first of our New Zealand customers to implement Spydus 8!

Moreland City Libraries Live on Spydus Managed Service and Spydus 6.5.3

 

 

Congratulations to all the staff at Moreland City Libraries in Melbourne’s northern suburbs on a successful go live with Spydus 6.5.3 on Managed Services on August 3. Moreland Libraries provide library services across five service points located at Brunswick, West Brunswick, Coburg, Fawkner and Glenroy.

The Spydus Managed Service is an important move for Moreland City Libraries and will enable staff to focus their resources entirely on providing a more efficient and timely library service to their patrons. Their Managed Service solution includes: full application hosting services, Spydus client desktop maintenance and management, extended scope application support (Spydus parameter maintenance), regular software upgrades and management of the communications link to the Moreland Council network.

Moreland’s Managed Service agreement also includes client desktop support and this task was carried out by three of Civica’s Technical Services staff in the final phase of the 6.5.3 go live and included installing the Spydus client software to a total of 60 PCs across the 5 Moreland service points.

City of Mandurah Spydus Launch

The City of Mandurah located an hour south of Perth, Western Australia, held the official launch of their new Spydus system and Community Directory on September 21 at Mandurah Library.

The launch of the new services marks two key milestones in Council’s ability to deliver efficient community access to information.

A demonstration of the new functionality offered by the Spydus Library Catalogue and the Community Directory was provided to staff and patrons. Councillor Brian Joynes then officiated over the symbolic “cutting of the blue cable”, which linked the libraries old green terminal and the new thin screen, which staff will use to access the new systems.

Sites of the month: Hastings District Council and Napier City Council, New Zealand

Hastings District Council and Napier City Councils are located on the east coast of the North Island of New Zealand.  Offering a Mediterranean-style climate, the region is very famous for the Hawke’s Bay wineries.

Napier boasts a variety of buildings in the architectural styles of the 1930s - Stripped Classical, Spanish Mission, and above all Art Deco, the style of the 20th Century. Napier's Art Deco is unique, with Maori motifs and the buildings of Louis Hay, admirer of the great Frank Lloyd Wright.

Renowned world-wide as New Zealand's Art Deco City, Napier Public Libraries is striving to have the best Art Deco Collection of resource material in the Southern Hemisphere.

The libraries’ comprehensive Art Deco Collection was originally launched at the Napier City Library in 2002 and includes both domestic and international Art Deco resources.

The ceramic works of the world famous Clarice Cliff are recorded in full colour in twelve different books about her life and works in the collection along with other international books on the Art Deco period like Essential Art Deco and Screen Deco: A Celebration of High Style in Hollywood. Each item in the Art Deco Collection has the DECO logo on the spine for easy identification.

The library has plans to reshape and enhance the area in which the collection is displayed and include Art Deco style furniture and accessories with a view to making it an even more inviting place to visit.

In 1931 an Earthquake devastated the city of Hastings and a stunning new townscape in the major styles popular in the early 1930's - Stripped Classical and Art Deco, was created to complement the surviving Spanish Mission architecture. The Hawke's Bay Opera House (formerly the Hastings Municipal Theatre) is an example of Spanish Mission Architecture and is currently being redeveloped as a major landmark of the city.

Napier Public Libraries and Hastings District Libraries recently went live with Spydus 8 becoming the first of our New Zealand libraries to migrate to the new software. Hastings District Libraries has 3 branches located at Hastings Central, Flaxmere and Havelock North and Napier Public Libraries has 2 branches, the Central Napier Public Library and a branch at Taradale.

Spydus 8 – Family Linking – New Feature

Soon to be released within Spydus 8 Family Linking is the ability to nominate who library notices should be sent to. So for a child borrower, who is linked to a parent, a check box to “Send Notices to Parent” may be activated by library staff.

Alternatively if you wish to continue to use the Guarantor details, in the Guarantor’s tab, you are able to nominate if you wish to send notices via email to either the Borrower’s address, or the Guarantor’s address.

In addition the Guarantor’s tab in the borrower registration details has been enhanced to include additional contact information, such as: address line 3, mobile number, email address and fax number.


Hot Tip # 18 – Changing from USMARC to MARC21 cataloguing

To change from USMARC to MARC21 it's simply a case of registering the M21Svr.dll rather than the UsmSvr.dll. You'll find these dll's in the folder C:\Program Files\Common Files\Spydus8.

To register the M21Svr.dll:

1. On the Windows Start menu, click Run.

2. In the Open box type regsvr32 "C:\Program Files\Common Files\Spydus8\M21Svr.dll".

3. Click OK.

That's all there is to it.

To go back to using the USMARC dll, just re-register the UsmSvr.dll:

1. On the Windows Start menu, click Run.

2. In the Open box type regsvr32 "C:\Program Files\Common Files\Spydus8\UsmSvr.dll".

3. Click OK.

There are a couple of things to remember.

Register the dll you want before you start the Cat Client.

You can only have one of these dll's registered on one PC at any one time, either M21Svr.dll or UsmSvr.dll.

Tip: Here's a good tip to save you having to type regsvr32 "C:\Program Files\Common Files\Spydus8\M21Svr.dll". First use Windows Explorer to browse to the C:\Program Files\Common Files\Spydus8 folder, and locate the dll. Then click Run on the Windows Start menu, type regsvr32, and drag and drop the M21Svr.dll into the Open box.

Spydus Newsletter October 2005

Welcome to the October issue of the Spydus Newsletter, the first issue to be published from our brand new premises in the Melbourne CBD!

Interest in the Spydus Managed Service continues to grow across all sectors of the library market and in this issue we have Managed Service articles on Penleigh Essendon Grammar (a school library), Bayside Library Service (a public library) and Australia Post (a special library). Plenty of product news this month as well, with an article on how to select an item for another bibliographic record in Cataloguing and a detailed description of the steps required to duplicate LIVE environment to TEST environment.

In earlier issues we announced the launch of Spydus into the UK market. Recent reports out of the UK suggest that their library industry faces a few challenges over the next three years and early feedback on the Spydus system and Managed Service as a means of addressing those challenges has been very positive.

The annual SPUN conference was held this month and was again a very successful and well-attended event. If you missed the conference, don’t miss the presentations, which are now available from the SPUN website.

The Spydus team continues to grow across all areas of our business and this month we introduce and welcome four new Spydus team members, all based in our Melbourne office.

Two more Victorian libraries join the growing list of Civica’s Spydus Managed Service customers….

Penleigh & Essendon Grammar School (PEGS) Library in Melbourne went live at the end of September becoming the second of our secondary college libraries to choose Civica’s Schools Consortia model within a Managed Service environment.

According to Michael Jongen, Head of Library Services at PEGS, the new system will provide a number of advantages.

“One of the advantages of moving to the consortia solution is that we now have access to key modules like Acquisitions and Serials, which would have otherwise have cost thousands of dollars to obtain the licences. This means we can modernise our ordering processes and reduce the paper trail and duplication that is part of the present process.   Using an automated acquisitions package will mean that from the moment a request is made for a title the order can be tracked on the catalogue.”

"The Managed Service also enables better financial house-keeping, especially in estimating our committed funds.”

Under the Managed Service model many processes previously done by PEGS Library and IT staff will now be performed by Civica staff.

Michael commented that the changeover process was relatively painless due to the combined efforts of the PEGS IT department and Systems librarian.

Located 15 minutes south of the Melbourne CBD, Bayside is a long standing Civica customer and has been using the Spydus Library Management System since 1990.  Bayside provides library services to 4 service points across the Beumauris, Sandringham, Hampton and Brighton areas.

Australia Post signs for Spydus Managed Service

Australia Post has announced they will implement the Spydus Managed Service becoming the first ‘Special Library’ Managed Service.

Australia Post is a government-owned enterprise dedicated to providing accessible, reliable and affordable postal services for all Australians. The corporation currently employs 35,049 full-time and part-time staff, operates 4,477 postal outlets, serves 1.10 million customers in its outlets every business day and delivers mail to 9.68 million Australian addresses.

The Australia Post library is located in Melbourne and will be accessible via the Staff Intranet to the more than 35,000 staff working at postal outlets throughout Australia. The library catalogue includes a comprehensive range of policy and procedure documents, training materials such as videos, and historical and educational collections.

As a government-owned business enterprise, Australia Post has a comprehensive system of corporate governance practices in place. The tender process was particularly stringent and in-depth testing and analysis was completed to ensure Civica’s Managed Service met all of the criteria. Civica’s Spydus library management system now offers national access to three specialist government libraries: Australia Post; the Australian Bureau of Statistics and the Department of Family and Community Services.

SPYDUS to meet UK Library Challenges

In the United Kingdom, local authorities are under increasing pressure to provide ‘comprehensive and efficient’ library services including year-on-year progress against public library service standards (including ICT provision) that require more opening hours and equal access for all.

At the same time, the number of visits to libraries in the UK is rising with an increase of 14 million in 2003/04 to 337 million in total, reinforcing the need for increased investment in public library buildings, book stock and new technology. In addition, recent surveys show that 59% of libraries in the UK are having difficulty filling vacancies and nearly a third of staff will retire in the next 10 years.

The Museums, Libraries and Archives Council (MLA) is the lead government agency for developing and delivering a national strategy for England's 3000 public libraries. Through “Framework for the Future”, its 2003-06 libraries improvement programme, £9 million of central government funding is already being invested in supporting reading and literacy initiatives in libraries; on improving leadership and management; and on a major recruitment campaign to attract a new generation of public library staff.

The MLA believes libraries face five major challenges over the next three years:

·         To extend opening hours, particularly at evenings and weekends

·         To diversify  both the library workforce and the services on offer

·         To sustain free internet access in all public libraries

·         To co-ordinate book procurement, reducing overheads and increasing the range of resources available to users

·         To establish a major investment programme to renovate and sustain public library buildings.

Civica has launched Spydus into the UK marketplace and initial interest in the software and the Managed Service delivery model has been very positive.

Phil Barr, Library Solutions General Manager at Civica explained, “With the increasing pressure on libraries to expand their range of services to a growing number of people, we believe the time is right to launch Spydus into the UK. It helps provide better and more efficient library services, whether the customer is a major urban library or a series of small or mobile branches and with the resourcing pinch beginning to be felt, the success of our managed services model is particularly relevant.” 

Site of the month: Thuringowa Library Service

Thuringowa City Council is one of the oldest local authorities in Queensland, celebrating its 125th birthday in 2004. Since its declaration in 1986, Thuringowa has experienced spectacular growth with the population more than doubling in the past twenty years to 56,000 and the area is currently one of the fastest growing in Northern Queensland.

In April this year, Thuringowa City Council’s library was officially named the best public library in Queensland being awarded the prestigious Queensland Public Libraries Association Public Library of the Year Award for 2005.

The award focuses on three key factors:

  • Service to the community.

  • Creativity and innovation in developing specific community programmes or a dramatic
    increase in library usage.

  • Leadership in creating programmes that can be emulated by other libraries.

According to Thuringowa Mayor, Cr Les Tyrell the award was very much a team effort by the Library’s dedicated staff.

“They are a great group who have consistently demonstrated a willingness to embrace change and take on new challenges while always maintaining a focus on good customer service”, he said.

However, Cr Tyrell said it was the Library’s patrons who were the real winners.

“The Library has been asked by the Council to take a leadership role in the development of Thuringowa as a learning community,” Cr Tyrell said.

“The Library has consistently scored well in Council’s Customer Attitude Surveys and has been placed in the top four libraries in Queensland surveyed by the AEC group in terms of scores attained for customer service.”

In their commentary, the judges of the award said the library had been an innovative service from its very beginnings in the mid-80s and had been prepared to take a leadership role for north Queensland libraries.

Comments from the Judging panel included: “
Given the demographic mix and the challenges presented by a 'scattered population' TLS have clearly demonstrated equity in their provision of services to the community. Of special note are the following: Commitment to the Indigenous community via the employment of a Indigenous Library Resources Officer; the range of targeted learning programs; partnerships/collaborations with the Smith Family, local schools, National Library etc; and innovations such as the web based InfoInstruction. It is also important to note TLS is looking a long way ahead by the development and implementation of its Strategic plan, 5 Year Plan and Marketing Plan and their alignment with Council's Corporate and Operational Plans.”

You can select an item for a different bibliographic record without having to close the Item Maintenance dialog first. Simply scan or type the accession number of the item you want in the box at the bottom of the left pane, and then press Enter.

Line Callout 3 (No Border): To select an item for a different bibliographic record, scan or type the accession number here.

You will be prompted whether you wish to save your changes. If you select the Auto save check box then any changes you’ve made will be automatically saved — you won’t be prompted.

 

Hot Tip # 19  - Steps to duplicate LIVE environment to TEST environment for Spydus 6.x

 

Note: In the documentation below it is assumed the LIVE environment is in D:\SPYDUS\SANLIB and the TEST environment is in D:\SPYDUS\SANTEST. The equivalent for Unix/Linux environments would be /spydus/sanlib for LIVE and /spydus/santest for TEST. The http server port number for the TEST environment is usually 8080, however this can vary. If unsure please check with the System Administrator or the Spydus Help Desk.

There are two options:

1. Database Refresh: programs, parameters and web are NOT duplicated from LIVE.
Note: the LIVE and TEST environments MUST be on the same Spydus version.

2. Full Refresh: data, programs, parameters and web are all duplicated from the LIVE environment.

Important: There must be no Unidata database activity whilst the files are being copied.

Conference highlights!

·      Trevor Trotter presented a demonstration of Advanced Reporting in Spydus 8 and an advanced Acquisitions workshop, which included EDI, Order Loading and Claims and Reminders.

·      The conference dinner was held at Trio’s Restaurant overlooking Noosa River.  It was a very merry evening, with dancing finally making its debut at a SPUN conference!

·      Enzo Accadia from Coffs Harbour Public Library, Tom Grey from Darebin Public Library, and Anne Kingsun from Thuringowa Public Library, provided interesting and detailed descriptions of their recent migrations from Spydus 6 to 8.

·      Campbell Scott from Napier Public Libraries in New Zealand started his library profile with a traditional Maori welcome and thank you, which was just wonderful and preceded a very lively and interesting presentation, in which he also covered the libraries' migration to Spydus 8.

Spydus People News

Melody Ku has joined the Development Team as an Analyst/Programmer.  Melody is originally from Hong Kong and has been living in Australia for 6 years.  She has also recently graduated from Monash University where she studied for an Honours BA in Computer Science. Melody enjoys cooking and relaxing in her spare time.

 

Gurav Kapur has joined the Spydus Support Team where his main role will be undertaking tasks on the Spydus Helpdesk.  Gurav is an experienced Web Developer and IT Support Officer and he enjoys playing cricket and travelling to exotic destinations.

 

Sarah Cavanagh has joined the Spydus Training and Consulting team.  Sarah is currently undertaking a Masters Degree in Information Management Systems at Monash University and brings a range of skills to the team as her past employment includes working as the Information Services Librarian at Holmesglen TAFE Waverly Campus and also at the Department of State & Regional Development special library.  Her interests include travelling, having recently returning from a fantastic holiday in Thailand.

 

Nader Kidwani has joined the Spydus Development Team.  Nader brings a wide range of skills and specialist knowledge to the team.  Nader’s background is in molecular physics, where he worked as a Research Assistant at the Centre for Molecular Simulation at Swinburne University’s School of IT.  He has completed a Masters in Computer Science which he obtained at Swinburne and Victoria University and is in the process of undertaking a Masters of Physics at Melbourne University.  When Nader is not studying, he enjoys reading and playing chess.

Welcome to the November issue of the Spydus Newsletter. The year has again flown by at a rapid pace and is showing no sign of slowing down as we move into December and into the Festive Season!

The Spydus team is seeing continued success with Managed Services with Maribyrnong the latest Library Service to go live and we have some excellent feedback on their experiences. Our implementation team are also working hard to deliver timely Spydus 8 upgrades for our customers including Albert Hospital Library in Melbourne and North Western Library Service in northern NSW.

On the product development front we have two articles this month. Firstly the new cataloguing web forms, which are making librarians lives a lot easier and secondly an introduction to the features in the new Spydus Cash Management module. As always we bring you a Hot Tip and this month we focus on how to Create Tables within the Cataloguing Client.

Our November Site of the Month is Central Highlands Regional Library Corporation and we have all the details of their latest expansion, which is providing the joint benefits of economies of scale and improved services to the community.

Maribyrnong Library Service Goes Live on Spydus Managed Service

Maribyrnong Library Service in Melbourne’s western suburbs went live on the Spydus Managed Service on October 27 with a ‘smooth and painless’ implementation process.

 A Spydus customer since 2002, the library serves a densely populated metropolitan area via four branches within the City of Maribyrnong - Footscray, Highpoint, West Footscray and Yarraville - as well as a home library service for elderly or disabled residents.

 Lloyd Brady, Team Leader, Library Information and Technology Services made the following comments regarding their transition to the Managed Service.

“The move to the Spydus Managed Service at the end of October was a smooth and painless process. The Civica team were a great help in resolving any outstanding issues that needed to be overcome in reconfiguring for the new setup. From a systems management point of view the service is a boon to us, as we have limited IT support capacity to host and manage such a large server and database in-house; and considering we were due for a new server the savings over time should be considerable.“

Lloyd also added: “We've been very impressed with the quick response times from the new server - renewing 20 items at once occurs in a flash. We're very much looking forward to our first upgrade to version 8 with the new service.”

Spydus 8 Upgrades

Congratulations to the Alfred Hospital Library in Melbourne and North Western Library Service in northern NSW on successfully upgrading to Spydus 8.2!  You can access the new North Western Spydus 8 Library Catalogue at the following address:

NSW User Group

The final NSW user group for 2005 was held at Blacktown City Council’s New Central Library.  You can found out more about the new library at www.blacktown.nsw.gov.au .

The User Group discussed a range of topics including best practices for submitting and lobbing. Ruza provided a demonstration of the new Cash Management Module, and we also looked at the Spydus 8 version of the Newspaper Index module and the new cataloguing web forms.

The NSW User Group has meetings scheduled for 2006 as follows:

Site of the month: Central Highlands Regional Library Corporation

Located in central Victoria, Central Highlands Regional Library Corporation (CHRLC) was established in April 1997 to provide library services to the City of Ballarat, Shire of Hepburn, Shire of Moorabool, Shire of Pyrenees, Ararat Rural City Council, Southern Grampians Shire and the Central Goldfields Shire

The library service covers an area of 12,958 km and employs the equivalent of 32 full-time staff to serve a population of 156,310 and manage their collection of more than 270,000 items.

Comprising twelve branches as illustrated, plus two mobile libraries, CHRLC has been a Spydus customer since 1986 and chose to migrate to the Spydus Managed Service in mid-2004.

 

This year has seen some exciting changes to the Corporation service with the addition of the Hamilton Library branch and Sebastopol College, Learning Resource Centre. 

Previously a member of the Glenelg Regional Library Corporation, a restructure of the Corporation’s boundaries resulted in Hamilton Branch library being merged with CHRLC on July 1.  Central Highlands Regional Library Corporation now has responsibility for providing library and information services to the communities of Southern Grampians Shire.

Not long after the Hamilton Library implementation was completed, scheduling commenced for work to proceed with the partnership of Sebastopol College and CHRLC.  According to Jenny Fink, Regional Youth Services Librarian, CHRLC seems to be ever expanding.
 

“Sebastopol Secondary College in Ballarat is now using the Spydus Library Management System through the Central Highlands Regional Library Corporation.  All data was converted from Softlink and special fields and parameters were added to suit the College requirements.  Staff and students at the Sebastopol College will now be able to not only search the College catalogue online, but also search the Central Highlands Regional Library Corporation catalogue and reserve items, which will be delivered to the College on a weekly basis.”

Jenny believes CHRLC’s partnership with the College is a cost-effective way to share resources and expertise, while also improving services to the young adults in the region.

“A new website has been developed for the Sebastopol College Learning Resource Centre that enables staff and students to view their own details, renew and reserve items using the Spydus software.  Staff and students are also able to use the one library card at both the College and Central Highlands Regional Library Corporation.”

New Cataloguing Web Forms

With the latest release of Spydus 8 we have created many more simplified worksheet entry forms, allowing you to catalogue with even greater ease.  The forms can also have default data in the fields where appropriate and links to authorities with the ability to add copy detail, simplifying cataloguing even further.

 

 

 

 

 


Spydus 8 Cash Management Module

The Spydus Cash Management module can be used as a standalone Cash Management solution or fully integrated with the Circulation module.  The library has the option to have a cash draw linked to each circulation PC or a number of PCs can all access a single cash draw.  The module features the ability to have standalone charges that are not linked to a borrower or charges that must be linked to Borrowers and a number of Cash Management reports are included with the module.

Hot Tip # 20  - Creating tables in Cataloging Client

 

In the Cataloguing Client you will be familiar with the standard tables available, like Country Codes, Geographic Area Codes and General Material Designation. However did you know that you can also create your own tables?

In the example below you will see that we have created a Thesaurus table.

 

 

 

 

 

 

 

 

 

 

 

 

The tables file resides in the following directory c:\Program Files\Spydus8\Cataloging and the file is called Tables.rgs.

 

 

 

 

 

 

 

 

 

 

 

 

 

In order to create a new table, you can copy and paste an existing table.  The best table to copy and paste is the General Material Designator table, as that is a table in the form of a text file.  It is very important that the 3rd line exist as in the example below.

Please see the Thesaurus example below in the Tables.rgs file.  Please note that you also need to create a tables text file that the Tables.rgs file will call to display in the cataloguing client.  In the below example I have created a thesaurus.txt file, which resides in the following directory Spydus8\Cat\Tables.

Public Libraries Australia Inaugural Conference - Albury

Robyn Wright and Ruza Obradovic represented Civica at the PLA Inaugural Conference which was held in Albury on the border of Victoria and NSW from the 9-11 November.  It was great to see many of our customers stopping by the Civica stand and our congratulations to Duncan Furphy from Cockburn Public Library in Western Australia, the winner of the Civica Stand “Lucky Business Card Draw”.

We are delighted to welcome Karen Scott to the Spydus Training and Consulting Team.  Karen has recently relocated from Adelaide where she was employed as a Microsoft Application Trainer.  Karen has a wide range of skills and experience in the Information Management industry including working as a Teacher Librarian and coordinating the implementation of a medical library for a General Practitioners organisation in Sydney.  In her spare time Karen enjoys travelling.  She has recently returned from journeys to the Philippines and Singapore and looks forward to spending time investigating the cultural diversities of Melbourne.

Welcome

As the year draws to a close we are delighted to announce the signing of our first US Spydus Managed Service customer, Tiffin-Seneca in Ohio and our first Victorian RFID site, Loreto-Mandeville Hall in Melbourne.

This issue we have news of the final User Group meetings for the year and we have several articles on the new Cataloguing Client Spell Check and Newspaper Index features within Spydus 8.  We also have information on our new Advanced Reports Training Sessions and another Hot Tip for those Thesauri!

Loretto Mandeville Hall RFID

We are very pleased to announce that Loreto Mandeville Hall in Melbourne will be the first Victorian site to implement the Spydus RFID solution.   A private, catholic school for girls located in Toorak, the school has been a Spydus customer since 1988 and is currently in the process of upgrading to the Spydus 8 Managed Service. This is scheduled to be completed by March 2006 and the RFID implementation will then commence with the physical tagging of items and registering of RFID information to Spydus item records. The school plans to go live with the new RFID technology at the commencement of their second school term.

 

Tiffin-Seneca in Toledo to be first US Spydus Managed Service Site

We are very excited to announce the signing of our first Spydus Managed Service customer in the US.  Tiffin-Seneca, a public library located 46 miles from Toledo has been providing services to the community for more than 125 years and has been a Spydus customer since the early 1990s.  The library service is very committed to meeting the informational, educational, cultural and recreational needs of all who live, work or go to school in Seneca County.  By choosing to migrate to a Managed Service environment, the library staff will be able to focus more resources and attention on the end users of their library service.

The US Managed Service infrastructure will be based in Ohio and we have recently employed Chris Browse (see Spydus People Overseas article below) to manage the Managed Service hardware and administer the associated technical services included within the Managed Service contract.  We anticipate that Tiffin-Seneca will be live with the Spydus Managed Service in early 2006.

Spydus 8 Upgrades

Congratulations to Camden Library service in south west Sydney on their successful Spydus 8 implementation.  Camden will be live on Spydus 8 by the end of this week.

Other Spydus 8 implementations currently in progress include :

End of Year User Groups

Final User Group meetings for 2006 were held for New Zealand, Queensland and Victoria during the month and we would like to take this opportunity to thank all of our customers that have hosted, supported and attended User Group meetings during the year.

New Zealand - Napier Public Library hosted the New Zealand User Group on Wednesday 30 November and there was a great turn-out with 26 attendees. Thanks to the Napier and Hastings District Library staff who shared some ‘hands on’ Spydus 8 upgrade experiences and product demonstrations with everyone. Next meeting will be at Porirua Public Library in March so keep an eye out for the dates.

Queensland - Corporate Solutions Library Service in Brisbane hosted 15 representatives of the Queensland User Group on Thursday December 8. Enhancements were a hot topic of discussion and Ruza provided demonstrations of the Cash Management solution, the Newspaper Index module and the new web forms.

Victoria – Our new office in Bourke Street Melbourne was the venue for the Victorian User Group held on December 9 and attended by 16 library staff from customers throughout Victoria.  Topics presented for discussion included a review of the Spydus 8 Enhancement List and a demonstration of the new Spydus 8 Cash Management Module.

Site of the Month: Glen Eira Opens new Carnegie Library and Community Centre

Glen Eira City Council is situated in south-east metropolitan Melbourne and takes in the suburbs of Bentleigh, Bentleigh East, Carnegie, Caulfield, Caulfield South, Caulfield North, Caulfield East, Elsternwick, Gardenvale, Glen Huntly, McKinnon, Murrumbeena, Ormond, and part of St Kilda East.

In late October, Council opened the doors of its new $10.4 million Carnegie Library and Community Centre to a huge and enthusiastic response from the community. During the opening weekend around 8,000 visitors came to the library and almost 6,000 books, DVDs, magazines and other items were borrowed with 180 new members registered. 

The new complex, which is located at 7 Shepparson Avenue, Carnegie comprises a state of the art library and also features community meeting and function rooms, a children’s multipurpose centre and outdoor open space.  The library is around four times the size of the small shopfront location it replaces and the opening hours have been almost doubled to allow residents to make the most of the impressive range of resources.

Nine computers with Internet access are available for members to use and seven OPACs are positioned at points around the library, including a bank of four strategically positioned near the entrance and close to the Information Desk allowing staff to give immediate catalogue assistance to library customers.

Spydus 8 Advanced Reports Training

We are pleased to announce that we now have Advanced Reports Training sessions available for our Spydus 8 customers.  The workshop is intended to provide customers with insight into the Spydus 8 data structure allowing you to customise your own Crystal reports to be linked through the Spydus 8 Reports interface.

The course content includes : 

·         Spydus 8 Data Structure Workshop

·         Spydus 8 Boolean Queries

·         Using Crystal Reports on Spydus 8

The duration of the session is 1.5 days and will be conducted as multi site training.  Pre-requisite to undertaking this session is a basic understanding or previous training in the creation of Crystal reports, however this is not mandatory.  If you would like more information on the upcoming sessions for 2006 please contact your Account Manager.

New Features Spydus 8

- Cataloguing Client Spell Check

Use Check Spelling on the Edit menu to check the spelling of the fields in a selected tag.   Cataloguers can select the tags to be checked and multiple tags can be checked during the checking stage, using the CTRL key.

Any words that aren’t recognised are listed in a “splitter” window at the bottom of the main window.

Click on any error message in the splitter window and the associated word is highlighted in the main window.

- Newspaper Index

The Newspaper Index provides sites with the facility to easily manage the creation and retrieval of newspaper and journal articles.  Library staff can add journal and newspaper articles to the catalogue via user friendly web forms.  These articles can then be linked to the parent serial or newspaper bibliographic record and a separate filtered view is available to retrieve and view these records in OPAC and Staff Enquiry.

 

 
 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Hot Tip # 21  - Thesaurus Configuration

Did you know that you can create as many thesauri in Spydus to link your authority headings to as you wish?

For example, if you were required to configure the Australian Pictorial Thesaurus on your database, you would need to add the thesaurus code as a table entry in the ZAB table via table manager.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

To link your headings in a bibliographic record to a nominated thesaurus type, you would need to select indicator 2 in the 6XX tags with a value of 7 and set the thesaurus code in the #2 subfield – source of heading or term.

National Library Board (NLB) Singapore Conference Sponsored by Civica

Celebrating Knowledge, an NLB Conference which is part of a series of programmes to mark the official opening of the National Library in Singapore was held from the 13-15 November and Civica was delighted to be involved in the event as a Silver Sponsor.

The 2-day conference brought together more than 300 information and knowledge professionals and business leaders from all parts of the world to engage in insightful exchanges on the theme 'Celebrating Knowledge: The Power and Potential.’

Spydus People Overseas

We are delighted to welcome Will Blackburn to the Spydus team in our London office.  In his role as Business Development Manager, Will is working closely with Julie McKay and Chris Thewlis launching Spydus into the UK library market.  Will previously worked at Nielson Book Data as library sales manager for eight years, primarily selling their Z39.50 MARC service.  Prior to joining Civica, Will completed a six month stint with the Army Reserve in Iraq.

Will, Julie and Chris have been very busy meeting libraries throughout the UK and the response has been extremely positive.  We look forward to bringing you news of our first UK Spydus site in early 2006!

 

We are also very pleased to welcome Chris Brose to our US Spydus team. Chris will be based in Ohio and will be responsible for managing the US Spydus Managed Service infrastructure.  Chris brings a wide range of skills and specialist knowledge to the team and his formal qualifications include a degree in electronic engineering and computer science.  Chris has extensive experience in the installation and configuration of networks and has worked as an independent networking consultant performing network/server functions for local businesses, colleges and libraries.  In his spare time, Chris enjoys motorcycle riding, snow boarding, mountain biking and any outdoor activities.
